What data do we collect? 

We collect names and contact details, which may include street addresses or email addresses, as set out in the client contract or referral form.

As part of coaching or person-centred planning work, we may store images of graphics, the output of exercises we do together, and audio or video recordings of sessions, as set out in the contract.

As part of psychological assessment work, we collect dates of birth and other personal information required by the demands of specific assessment tools. We also collect answers to questionnaires, checklists, and other assessment tasks as required.

Psychologists and coaches may take reflective notes during or after sessions.

Who has access to this data?

Access to data on individuals is limited to employees and contracted associates of East London Thinking Ltd. Employees and associates are forbidden to use or share any data beyond the work they are doing for and on behalf of East London Thinking Ltd. No other parties will have access at any time, nor will your details ever be shared without consent, or sold.

Psychological assessment reports on children are shared with the stakeholders as set out the referral or consent form. This is typically the parents and the school, and consent to share more widely will be checked at the initial meeting. Once completed, parents have the right to share assessment reports about their children as they see fit.

Why do we need this data?

Contact details are required so we can send out written summaries of our work with you, including psychological assessment reports. We do not hold a mailing list.

Notes from consultations, joint-school family meetings and coaching sessions are kept for reference and reflection and professional development only and are strictly confidential to the psychologist carrying out the work.

Raw data from assessments are kept only until a written report, or other feedback is completed and our involvement with you ends. At this point they are securely destroyed.

Audio recordings and video are used to support continuing professional development through supervision.

 

Are there any limits to confidentiality?

Employees and associates of East London Thinking Ltd have a duty to report any information which raises concerns about a child’s safety. This will be reported to the most appropriate safeguarding officer, typically the school’s safeguarding lead or the Local Authority Designated Officer.

Additionally, coaches and psychologists retain the right to discuss issues arising from their work with individuals and families within the boundaries of their own supervision. This may include sharing images, or audio or video recordings, with the explicit consent of the client. Supervisors are also bound by a professional code of ethics and will maintain the confidentiality of all personal information shared in supervision.

How long is data stored for?

Data, including images, audio recordings and video will usually be stored by East London Thinking Ltd for a maximum of 24 months beyond the end of our involvement with you, as set out in the client contract or referral form.

All of our work is compliant with the British Psychological Society Code of Ethics and Conduct.
